ChatGPT Projects groups chats, files, and project instructions so recurring conversations can share context. That is valuable context management, but it is not automatically a governed project database with typed state and operational ownership.
Use ChatGPT to summarize approved material, compare plans, draft briefs, turn meeting notes into candidate tasks, surface unanswered questions, and prepare status communication. Review sources and mark unknowns rather than letting fluent prose become project fact.
Assignments, due dates, dependencies, approvals, current status, and revision history should not exist only in chat messages. A shared system of record gives every person and integration the same current state and supports correction without reconstructing a conversation.
The model may interpret context and propose an action; the owning service must enforce identity, permissions, scope, validation, confirmation, and audit. Conversational access never grants business authority by itself.
A bounded MCP or tool connection can expose exact reads and actions from the project system. Start with read-only retrieval, then add narrow reviewed writes with stable identities, revision checks, meaningful errors, and a clear record of actor and result.
Choose mature PM software when shared planning, resource capacity, dependencies, portfolio views, time tracking, external guests, reporting, and administration dominate. ChatGPT can still assist without replacing that owner.
